The Challenge
Three factors made this project significantly more complex than a standard corporate gala.
First, an audience that judges production quality for a living. Founders and directors of the world’s leading luxury wellness resorts and spa brands filled the room. Because these guests deliver refined experiences every day of their working lives, our production standard had to meet the expectations of the very people we were celebrating.
Second, two formats in one venue, twenty-four hours apart. Day one called for a daytime summit configuration that supported panel discussions and wellness activations, while day two demanded a full black-tie ceremony setup. As a result, our team had to reset and re-theme the entire space within a tight turnaround window. Moreover, delegates remained on property throughout that changeover.
Third, 25 categories with no margin for error. Winners travelled in from across Asia, the Middle East, Europe and Africa, so we scripted the run-of-show down to the minute. At the same time, we kept enough flexibility to absorb live variables — for example, an acceptance speech running long, a winner sitting at the far end of the ballroom, or a last-minute presenter changeover.
Our Approach
Day 1 – The Wellness Day Summit
We structured the first day as a working summit rather than a warm-up. Throughout the day, our team managed the room configuration for panel sessions, coordinated speaker briefings and technical rehearsals, and ran every transition between discussion blocks and wellness activations.
In addition, we treated networking breaks as programmed moments — timed, staffed and styled — because for an audience of this profile, the conversations between sessions carry as much value as the sessions themselves. Afterwards, once the summit closed, our production team executed a full venue reset while delegates were still on property.
Day 2 – The Awards Ceremony
We built the ceremony evening around a single principle: momentum. First, our production team developed a second-by-second run-of-show that covered guest arrival and reception, seating flow, host and presenter cues, category sequencing, AV and lighting states, winner walk-up routes, photography positions, and dinner service timing.
Then we programmed lighting and sound to reset between every category, so each of the 25 announcements landed as its own moment rather than a repetitive sequence. Meanwhile, backstage, a dedicated stage manager ran cue-to-cue communication with AV, hospitality and the host. As a result, the ceremony kept moving without ever feeling rushed.
International VIP Guest Experience
Since delegates arrived from multiple continents, guest experience began long before the ballroom doors opened. Our team therefore coordinated arrival management, on-site registration, delegate information and VIP handling. In addition, our seating logic placed nominees within practical reach of the stage while still protecting the networking value of the room.
